Configuring Role-Based Access

Set up staff roles (Admin, Manager, Salesperson, Viewer), link logins to salesperson profiles, and control what each role can see.

Enable role-based access in Settings

Go to Settings → Access & Roles. Toggle on Role-Based Access. Once enabled, staff logins are gated to only what their role allows.

📌 NoteRole-based access is optional. If turned off, any authenticated store user has full access — useful for small teams that don't need restrictions.

Understand the four app roles

Every person you invite to the app gets assigned one of four roles. Here's a breakdown of what each can do:

Enable the staff role types your store uses

In Settings → Staff Roles, check which staff role types your store has. This controls which roles appear in deal forms and filters. You can update this anytime.

Salesperson

Logs own deals, views leaderboard and own spiffs.

BDC Agent

Tracks BDC appointments linked to deals.

Sales Manager

Views all deals, approves spiffs, edits staff.

Finance Manager

Assigned to deals for F&I tracking.

Store Manager

Full management access except billing.

Invite a staff member and assign their role

Go to Settings → Users and click + Invite User. Enter their work email, pick their app role, and — for salespeople — link them to their existing salesperson profile so their login shows their own deals and spiffs.

Linking lets the salesperson view their own deals and spiffs when logged in.

Impersonate a user to test their view (Admin only)

Admins can tap View as next to any user in the Users list to temporarily see the app through their role. This is great for confirming a salesperson can only see their own data. A banner at the top of the screen shows you're in impersonation mode — tap Exit to return to your admin view.

⚠️ NoteImpersonation is read-only — you can see the view but actions are blocked to prevent accidental changes.
