Loaner Fleet Setup & Check-Out Workflow

Add your loaner fleet inventory, manage dealer plates, and walk through the check-out and return workflow.

Add your fleet vehicles

Navigate to Loaners in the main nav, then open the Fleet tab. Click + Add Vehicle to add each loaner car. You'll enter the year, make, model, and stock number.

Add your dealer plates

Open the Dealer Plates tab and click + Add Plate. Enter each plate number. Plates track independently from vehicles — you can see which plates are in possession vs. on an active loaner vs. lost.

💡 TipWhen you check out a loaner, you can optionally assign a dealer plate to it. The plate status updates automatically when the loaner is returned.

Check out a loaner to a customer

From the Active Loaners view, click + Check Out. Fill in the customer's name, select a fleet vehicle, and set the out date and expected return date. Mileage is optional but recommended.

Monitor active loaners & overdue alerts

The dashboard automatically flags loaners past their expected return date in red. A badge in the header shows the overdue count at a glance.

Return a loaner

Open the active loaner card and tap Return Vehicle. Enter the actual return date and mileage-in. The fleet vehicle's status switches back to Available and the loaner moves to history.

💡 TipYou can view the full loaner history by switching to the History tab on the Loaners page — useful for insurance records and customer disputes.
